RepLogix Acceptable Use Policy

This Acceptable Use Policy defines the rules and expectations for using RepLogix systems, applications, and services. It applies to all users, including coaches, administrators, athletes, personnel, contractors, and third parties who access RepLogix.

1. Purpose and Scope

This policy applies to all access and use of RepLogix applications, websites, APIs, and related services. By using RepLogix, you agree to comply with this policy. Violations may result in access revocation, account suspension, or termination.

2. Acceptable Use

Users may use RepLogix for its intended purpose: managing athletic rosters, tracking attendance and check-ins, recording performance data, generating reports, and managing team communications. Users agree to:

  • Provide accurate and truthful information when creating accounts and entering data
  • Use only the accounts and access levels assigned to them
  • Protect their login credentials and not share them with others
  • Respect the privacy and data of athletes, coaches, and other users
  • Comply with all applicable laws, including FERPA, COPPA, and state student data privacy laws
  • Use the Service in a manner that does not violate terms of service or applicable contracts

3. Prohibited Use

The following activities are strictly prohibited:

  • Unauthorized access to data or systems beyond your assigned permissions
  • Sharing, selling, or distributing athlete or team data without authorization
  • Entering false, misleading, or fraudulent data
  • Using RepLogix to harass, discriminate against, or harm any individual
  • Attempting to disrupt, disable, or compromise the Service or its infrastructure
  • Introducing malware, viruses, or malicious code
  • Scraping, crawling, or automated data extraction without authorization
  • Using RepLogix for any illegal purpose
  • Reverse engineering, decompiling, or attempting to extract source code
  • Using the Service to send spam, phishing, or unsolicited communications

4. Data Handling Responsibilities

Users who enter or manage athlete data are responsible for:

  • Having proper authority, consent, or legal basis to enter athlete or student data
  • Ensuring data entry complies with their organization's data governance policies
  • Protecting exported files (CSV, reports) once downloaded from the RepLogix system
  • Notifying RepLogix if they suspect unauthorized access to their account or data
  • Using data only for legitimate educational or athletic management purposes

5. Account Security

Users are responsible for maintaining the security of their accounts:

  • Use strong, unique passwords or OAuth-based authentication
  • Enable MFA when available for administrative accounts
  • Log out of shared or public devices after use
  • Report suspected credential compromise immediately
  • Do not leave devices unattended while logged in to RepLogix

6. Enforcement

RepLogix reserves the right to:

  • Suspend or terminate accounts that violate this policy
  • Revoke access for users who no longer have a legitimate business need
  • Investigate suspected violations and take appropriate action
  • Report illegal activity to law enforcement authorities
  • Modify this policy as needed to protect the Service and its users

8. Policy Review

This Acceptable Use Policy is reviewed at least annually and updated as needed to address new threats, technologies, or business requirements.
